Digital: When using digital dictation the days of audio (analog) tapes that get lost, broken or worn out are gone. Authors no longer wait for a tape pickup or paper report delivery. Digital dictation sound files can be handled and transported like most other computer files via your existing computer network, disk or modem with ease of storage and duplication. Digital dictation files are sent around the nation and in some cases, across the oceans for transcription within seconds. Digital dictation technology also creates better quality recordings. Similar to the comparison between a music tape to a CD. For authors and transcriptionist, moving to digital dictation technology will mean a faster turnaround time. The move to digital dictation is inevitable as very few manufacturers continue to produce the mini, micro or standard cassette size tapes or machines anymore.
There are many different devices available for capturing digital dictation, most can be narrowed down to one of two methods: hand held digital dictation or PC based digital dictation. Both will suit any size organisation. PC based digital dictation systems can capture client information as well, by entering data on the computer keyboard with this data travelling with the voice file.
Hand held digital dictation recorders are a replacement for the old tape cassette recorders. Some digital dictation recorders have removable media, others do not. Some operate with a slide switch control and some are push button. Care should be taken when selecting a hand held digital dictation recorder and consumer research should be done beforehand. For instance, some digital dictation recorders don't upload sound files to a PC at all. Some create only .wav files, which are too large for efficient transfer,. Hand held digital dictation devices come as stand-alone units or as part of a PC based system. A stand-alone unit will create sound files that are ready to transport once downloaded into a PC via an USB cable or a docking station. A "PC based digital dictation system" requires the sound files first be downloaded into a proprietary system, and the resultant digital dictation files may then be transported, again requiring special software and equipment purchases.
PC based/Computer dictation using an USB connected microphone or a connected hand held digital dictation recorder are the more featured of the two systems. Keyboard entry is available so any information can be visually available for the typist as well as the voice. Digital dictation voice files are sent instantly across an existing computer network or instantly emailed all by pressing a button. Voice files can be directed to selected typist upon completion.
Wireless dictation. Using a PDA, or Personal Digital Assistants, is considered similar to hand held digital dictation recorders in that they are portable palm-sized devices, which are now capable of recording voice using our digital dictation software. Recording is in a format that can be totally control by a typist. Digital dictation file formats compressed enough for easy downloading via a wireless network, docking via cradle or emailing. It would be fair to say the main advantage of wireless digital dictation is the ability to deliver digital dictation voice files without a physical connection to a computer. PDA's are a fast-evolving group of their own and vary in their capabilities and features.

Professionals on the road no longer have to wait until they are back in the office before their dictations are typed up, and neither do they have to use a laptop to transfer dictations to the secretary. SpeechExec Mobile now allows computer-free file transfer via SmartPhone, BlackBerry or Personal Digital Assistant (PDA). This can significantly speed up the availability of written documents as well as the exchange of information in dictation-intensive industries such as the legal and insurance sectors. The new software further strengthens Philips Speech Processing’s position as a provider of one-stop dictation solutions for professional users.
SpeechExec Mobile has
been designed to make mobile dictation truly convenient while increasing the
flexibility and mobility of its users. The innovative and easy-to-use software
application automatically scans memory cards for dictation files and delivers
them via e-mail or Local Area Network (LAN). E-mail recipients or storage
folders on the LAN can even be predefined on PDAs for automated delivery,
further streamlining the entire dictation workflow.

SpeechExec Mobile is compatible with
MS Windows Mobile 5.0 and 6.0, the standard operating system for SmartPhones and
PDAs. A version dedicated for the BlackBerry models 8800 and 8100 will be
available in October 2007. The application processes files recorded in the DSS
and DSS Pro format. DSS Pro files not only provide crystal clear sound quality,
despite minimal file size, but they are also encrypted to safeguard against
unauthorized access. Users can track the transmission of files in the outbox
overview and can decide weather to store a copy of the entire file or only save
the delivery date and/or the recipient’s name.
SpeechExec Mobile comes on a 1 GB microSD memory card together with an SD Memory
Card Adapter Kit (miniSD, SD). Installation is quick and easy thanks to the CAB
file format and ActiveSync - the standard installation routine for SmartPhones
and PDAs. For BlackBerry the user simply sets up the application using the
BlackBerry Desktop Manager Application Loader. The software has been designed
for use with Philips Digital Pocket Memos with an exchangeable SD memory card,
such as the Digital Pocket Memo 9600 series.
SpeechExec Mobile compliments an impressive line-up of products and solutions
form Philips Speech Processing that give dictation users both freedom and
independence, including the award-winning DPM 9600 Series and the unique LAN
Docking Station 9160 for PC-free file transfer.

The innovative Philips LAN Docking Station adds an entirely new dimension to PC-free file transfer It allows dictations to be transferred via LAN from the Digital Pocket Memo directly to the transcriptionist. Free of geographical constraint: dictations can be sent to any destination, whether to the room next door or anywhere in the world. There is no need to connect the docking station to a PC, no need for software, and only minimum user training is necessary. It can also be set up and maintained via remote configuration. Encryption and password protection on the Digital Pocket Memo ensure that dictations can be sent securely over the company network or the Internet
The software is installed using an installation wizard. This program guides you through the steps of the installation process and helps you in the installation of any required 3rd party solutions. This software supports Windows 2000 (SP4), Windows XP (SP2) and Windows Server 2003. It is recommended that you have the latest available Service Pack installed for all supported operating systems. The software requires Microsoft Windows Installer 3.1, Microsoft .NET Framework 2.0 and Microsoft Core XML Services (MSXML) 6.0 to be installed on your computer. If a required software could not be found on your computer, the installer displays a warning and directs you to the official download homepage.

Philips author digital dictation software comes complete with the SpeechMike Pro (tracker ball microphone) included in the package. This digital dictation microphone is a joint recording device and tracker ball microphone (use it to control all your mouse functions so you don't need to be jumping between different devices). The digital dictation microphone is also available in a new dual tracker ball/slide switch control microphone package, plus the reliable barcode reader microphone.
